The Steps in Managing a Project Implementation and Assimilation:

Characterization of Requirements - Writing an RFP (Request for Proposal)

An administrative, a technological and a legal mapping and characterization of all relevant work processes, based on interviews with key personnel, who are partners to the work processes, preparing risk survey, program preparation and cost estimates. Preparing an RFP in order to contact vendors for getting detailed quotations, that include the entire cost of the project. This document is the basis for the detailed characterization (control, protection, control room, security and emergency).

Comparison and System Selection

There are several systems in the market (control, protection, control room, security and emergency) that meet the customer needs. For this reason, the assignment must be entrusted to a neutral professional with the highest level of professional familiarity with all the proposed systems and with the ability to compare and audit. After defining the list of competitors in a model with proven advantages, which brings all systems and companies embedded to the same comparison base, tailored to the specific requirements and criteria of the customer.

Contract Signing

The issues discussed during a contract signing with a system vendor/application company are legal, commercial and professional. Professional consulting integration at the contract signing stage anchors issues such as: the delivery tests that the supplier undertakes, defining the quality of the product delivered for acceptance tests, periodic controls by the supplier, development and maintenance procedures, configuration management and Service Level setting.

Characterization Writing

The detailed characterization writing stage is a critical one for the success of the project, especially in projects that include the client’s business requirements that need to be reflected in the system. Therefore, this phase is usually written in combination with the “minds” of the implementing body and the leading users’ representatives.

Accompanying the Project and Control

In order to meet the project’s success metrics, a full completion of the milestones defined in the project’s Gantt chart must be continuously monitored according to agreed quality standards, monitoring progress of Action Items on schedule, managing risk rolling analysis and timely flag raising, budgetary control management, etc.

Planning and Conducting Acceptance Tests

Before delivery, the systems must be planned and performed for acceptance. The tests focus on examining the work processes, which serve the organization and, in the changes, developed for the client.

Training and Implementation, Literature and Procedures

Building an overall training system for systems that will be implemented well on the client site. The training and implementation will be managed as a project for all intents and purposes. Planning while paying attention to the target audience, transmitting the material originally and clearly. Personnel training, that will support users on an ongoing basis.

Configuration management and version management

Establish an arranged array of system configuration and versioning. Creating a workflow for creating changes and enhancement priorities. Establish a tests’ array for each version.
